Thank you for exhibiting at New Wine Festival 2026.

We require you to read all of the Exhibitor & Partner Manual below before the event, because it contains vital information to help you plan your time with us.

New Wine Summer Festival

New Wine exists to see local churches changing nations. For one week of the summer, we gather in our thousands to celebrate all God has been doing and continues to do in our lives.

New Wine Festival offers a full programme of passionate worship, top-quality Bible teaching, prayer ministry, and the opportunity to get spiritually recharged.

We have exciting, age-appropriate activities and teaching programmes for children and youth, as well as fun festival experiences for the whole family.

Arrival

New Wine Festival is taking place at The Bath and West Showground, Shepton Mallet, BA4 6QN.

The showground is easily accessible from the M5 and is situated along the A371 Castle Cary – Shepton Mallet road. It is approximately 25 miles from Bristol and 20 miles from Bath. The nearest train stations are Frome, Castle Cary, or Templecombe.

We’ll be using the Blue Gate for arrivals each day, not the main showground entrance. It is located on the A371, opposite the Lakeside Pool. This will all be well signposted. The Blue Gate can also be found using the postcode above or ‘What 3 Words’ below.

Getting Onsite

Event Tickets

Your New Wine Exhibitor tickets are attached to your original confirmation email. If you are having trouble accessing your tickets, please email info@new-wine.org, and we will resend them.

If you have made multiple bookings, your tickets for your other bookings will be attached to each confirmation email which was sent to you on the relevant day of booking.

Please have your tickets ready, printed or on a mobile device, upon arrival at the gate so they can be scanned – you will not be allowed access to the event without them.

When your ticket is scanned, you will be given a Festival wristband which gives you access not only to the exhibition areas but to the whole event.  Outside of your serving hours, we would love you to partake in all that God is doing on site.

Transferring your passes

If you are transferring your agreed Exhibitor Event Passes between staff members on different days throughout the event, please use this form here to book the changes: Each team member will be emailed their own ticket which must be shown on the gate to receive an event wristband.

You can access the site through the Blue Gate on Exhibitor arrival day. Please go to The Fun Zone Showring where the Partnerships Team will meet you. If you have hired an Exhibition Hut, we will give you your hut number and a padlock with key.

Please wear your wristband on-site throughout the festival, as this is also your pass to enter all the venues. There will be a £5 charge if you need to replace your wristband.

New Wine recommends each Exhibitor on your stand wears a name badge with the organisation name and logo visible.

Additional Tickets

If you purchased delegate tickets for additional people for your Exhibition space, the ticket holder will need to download the ticket and bring it with them to site. Any additional Delegate Passes bought, above those we’ve provided as Transferable Exhibitor Passes, are non-transferable.

Setup, Packdown & Parking

Set-up on site for all Exhibitors and Partners

The New Wine Partnerships Team, along with our dedicated Team of volunteers (Partnership Support Team), will be available to meet you at the main entrance to the Fun Zone and assist you with finding your location and set up. Partners and Exhibitors can arrive from 9.00 on Monday 27 July (Day Zero). You cannot access the site any earlier.

If you have an Exhibition Hut, we will be in touch before the event to confirm your Hut number and location. This information will also be available upon arrival at the Fun Zone.

On the 27 of July (Day Zero), you can park your vehicle for 30 mins next to the roadside adjacent to the Fun Zone entrance for unloading only. Please ensure your vehicle is parked off the main road, allowing access for other vehicles through the site. If you have a large quantity of items to unload, you can drive into the Fun Zone and park behind your Exhibition Hut to unload.

We require you to have your exhibition space fully set up by 22:00 on the 27 of July. NB. Impact set-up by 17:00 on 27 July (building in use for Team Commissioning from 19:00–20:00 with band rehearsal before) set up can continue after this until 22:00.

Please be mindful not to block entrances into the Fun Zone as multiple users will need to access the site. The set-up period can be very busy with many vehicles moving around and people carrying items. The pressure to set up in time increases the likelihood of an accident, so we must all take extra care.  

There is plenty of free on-site parking. For those camping, there are 2 long-stay car parks (marked as Car Park 1 & 2 on the map). For those staying off-site, please use the Day Car Park, which is located next to the Blue Gate. Please follow the stewards’ instructions to park.

Please note that the onsite shop will be open on 27 July; some of the food vans will be open, but timings have not been confirmed.

Exhibitors & Partners meeting

A meeting will take place on Monday 27 July at the Bookshop Café adjacent to the Fun Zone, from 17:00-18:00. This will be a compulsory meeting for all Exhibitors and Partners and will include a health and safety briefing from our team, and a time to pray together. We’d love you to stay on for a drinks’ reception following the briefing, which will be a chance for us to get to know each other, concluding at 19.00.

Delegate arrival day and expectations from Exhibitors and Partners

Delegates arrive from 9:00 on the 28 of July. If you are Exhibiting in the Fun Zone with an Exhibition Hut or other experience, we require you to staff your exhibition space from 12:00 noon to 18:00 and 21:00 to 23:00 on the first day.

Pack-down for Exhibitors and Partners

New Wine will have a full programme of events on the last day of the Festival, the 2 August, which includes an evening programme. This means that you have agreed to maintain your exhibition hut until the end of the event at 23.00 on 2 August and leave site by 11.00 on the 3 of August.

You are welcome to start pack down from 23.00 on 2 August after the Fun Zone closes. Pack down can only start when your area is clear of delegates and the Partnership Team have given you permission to commence. We suggest you pack items and secure them in your Exhibition Hut overnight.

You can continue to pack between 7.00 and 9.00 on the 3 of August, by which time your Exhibition Hut must be completely vacated.

Please note that Exhibitors cannot drive on site until the 3 of August.

If you are Partnering in a Venue, Cafe or another area on site, we will contact you with separate pack down instructions appropriate to your team.

Exhibitor and Partner Parking

There is plenty of free on-site parking for Exhibitors and Partners. For those camping, there are 2 long-stay car parks called Car Park 1 & 2 (a map will be available nearer the event). For those staying off-site, please use the day car park, which is located next to the Blue Gate and clearly marked on the map. Please follow the stewards’ instructions to park.

For those camping with mobility needs, there will also be additional long-stay disabled car parks for those with pre-authorised parking permits. Please contact the team at info@new-wine.org if you need a disabled parking permit as they need to be pre-authorised and ready for when you arrive on site.

Please note, there is NO authorisation for vehicle movement around the site during the duration of the event.

Facilities Onsite

Programme, App & Map

You can access the full programme on the Festival App from mid-July (available in the Apple Store and Google Play, and as an online version at new-wine.org/prog). In partnership with GFA World, the App provides details of the celebrations, breakouts, exhibitors, speakers, map and much more! Due to go live on 14th July.

Pocket Programmes will also be available to purchase onsite for £2 from Info or Blue Gate, containing the map, timetable and more info about all that’s going on! 

Wi-Fi

Free Wi-Fi will be available to Exhibitors and Partners. Although every measure has been taken to ensure we can provide good connectivity, if you are reliant on Wi-Fi, we suggest that you bring a 5G dongle as a back-up should it be required.

Exhibitor Storage

Exhibitor storage is available on the balcony of the Impact venue which can be accessed by stairs or lift.  As you cannot drive on site for the duration of the event, please store your excess stock in this area.  We advise bringing a trolley with you for easy transportation of goods between the Impact Venue and Fun Zone. 

Exhibitor Deliveries

Please only deliver items if this is absolutely necessary, as we receive a lot of deliveries over the week. Make sure you only order deliveries if you are on-site to receive them. Please make sure you collect your delivery from New Wine Stores immediately. If it is a large palleted delivery, we will need to be notified in advance. Any deliveries should only be for non-perishable items. Items such as personal supermarket shopping deliveries should go to the main gate where you will need to meet the van and collect the items yourself. Ordering deliveries is at your own risk. New Wine is not responsible if your items go missing.

Team Lounge

At New Wine Festival, we think it is really important to look after people and value their hard work on site. We have a Team Lounge that is open for all New Wine volunteers PLUS our amazing exhibitors and partners. This is a space to relax, get a tea, coffee or cold drink, and charge your phone or close your eyes for 5 minutes!  Please wear your organisation’s T-shirt and show your wristband to gain access.

Team Lounge will be open from 9:00-11:00 pm on Team Arrival Day (Monday 27th July) then from Tuesday – Sunday it will be open between 9:00am-6:00pm and 9:00-11:00pm daily.

CampingVillages

Your camping village is the area where you have been allocated to camp. You will have already received details about your designated village in your Village Allocation email. Upon arrival, please follow the signs and Stewards’ directions to find your village (colour and number). 

When you reach your village, speak to your Village Host – they will have allocated you a camping space, so please only camp where asked to. If you have let us know about any additional camping requirements, speak to your Village Host when you arrive to confirm these. If you need to contact your Village Host prior to your arrival, you can do so through the New Wine office by emailing info@new-wine.org. 

You must only camp in the area allocated to you. Do not move to another village, as we may need to locate you in an emergency. Please keep any children away from the excluded areas marked on the map. 

Gazebos: If you’d like to set up a small or medium gazebo, please wait until all the campers in your village have arrived and check in with your Village Host before setting up. Gazebos will only be added at the Village Host’s discretion and subject to space. 

Electric Hook-Ups

If you have pre-booked an electric hookup onsite, you must bring at least one 16A camping cable of minimum 25 meters (we highly recommend 30m). For those in tents, you will also need an appropriate connection box to keep the supply off the ground, and with RCD protection. Please do get in touch with any questions regarding these items. 

  • Your village host will show you where your labelled connection is. These will be tagged with the name of your booking manager.
  • If you have not booked a hook-up or confirmed a hook-up with our team in advance (including for medical reasons), then you will not be able to connect to the supply on-site. 

If you have any questions regarding your village or electric hookup, please come to Info. 

Hired Tents & Caravans

If you are hiring a tent or caravan from a private company, to ensure that your accommodation is set up in the correct location, you will need to provide them with the following information: 

  • Details of your camping village (which can be found in your Village Allocation email). 
  • Please ask your hirer to contact us at info@new-wine.org to arrange drop-off, pick-up, and to obtain the contact details of the village host for when they deliver your accommodation. 

Please ensure that your hire is until after end of the event, as hire companies won’t be allowed access to site until 07:00 on 3rd August 2026.

Village Halls

Each camping zone colour will also have a ‘Village Hall’ – a sheltered communal space hosted by a Village Hall Host. The village hall contains picnic benches, hot water at the times below (don’t forget your flask or mug!), a ‘medical/mobility priority’ electric charging point, and free phone charging towers. Your Village Hall also plays host to various activities and opportunities to meet others throughout the week.

All charging is free, but items are left at your own risk, so we ask that you remain with your devices and switch them off whilst they recharge.

Training

Prayer Ministry

As a family of churches, we want to ensure that everyone has the opportunity to be prayed for during the ministry times at our main meetings. If you would like to pray for others, you must complete our New Wine prayer ministry training.  

Training can be completed online or at the in-person ‘Prayer Ministry Training’ session. 

  • In Person Training & Wristband Collection: Big Top, Tuesday 28 July, 15:30–16:30.
  • Online Training & Wristband Collection: Complete the Training HERE & collect your wristband from the Big Top, Tuesday 28, 16:30–17:30.

Missed the collection? Collect your wristband from Info after completing the online training. Don’t forget to bring a copy of your Prayer Ministry ID card from your training (digital or printed) and a form of photo ID. 

New Wine Festival Partners and Exhibitors Training

For New Wine Festival, we have created some helpful training videos which we hope will benefit your Team who will be representing your organisation at the Festival.  Along with New Wine Volunteer Team and Staff, we ask you to join us in learning about these three important areas, to help make the event a safe and enjoyable space for all.

Exhibition Areas and Opening Hours

Fun Zone

The Fun Zone is one of the main hubs of activity at the Festival, bringing together a variety of experiences for delegates. It incorporates the Showring, where the Ferris Wheel and Exhibition Huts are located, along with the Awaken venue (hosting events and gatherings), and the Canopy Cafe. The Food Zone and Bookshop Cafe are part of the wider Fun Zone and will be offering diverse cuisines throughout the day and great coffee. The Bandstand next to the Bookshop Cafe will have a programme of live music and performances. We will also have Partners bringing radio and interactive games around the Fun Zone.

While the Fun Zone is generally open from 12:00–18:00 and 21:00–23:00 each day, please note that the Food Zone and Bandstand operate with different opening hours, which are outlined in the sections below.

Fun Zone Opening Hours: every day 12:00-18:00 & 21:00-23:00; we expect Exhibitors to man their exhibition huts and experiences during these times.

You are welcome to open outside of these hours if you wish, but this is optional.

The Fun Zone opens for delegates on Day 1 (Tuesday 28 July) 12:00 – 18:00 and 21:00 – 23:00. The footfall on this day may be lower as delegates will be arriving all day. The final day of Exhibiting is Day 6 (Sunday 2 August) and will close at 23:00. Outside of the above timings, the Awaken venue opens at other timings (see Festival App).

Food Zone

The Food Zone is centrally located on site and is where our food vendors and picnic style seating is available.

Food Zone Opening Hours: every full day of the event from 7:30 – 23:00.

Cafés

This year we have two cafés, the Canopy Café in the Fun Zone Showring and Bookshop Café next to the Food Zone, where St Andrews Bookshop is also located. We also have two coffee points, adjacent to the Big Top:

Join our Morning and Evening Celebrations as we gather to pursue God in worship. You’ll be inspired and challenged by the word of God and hear encouraging teaching and stories. We’ll wait on him and allow time and space for ministry in the power of the Spirit. We will also host breakout sessions throughout the day.

Impact

Join our Morning and Evening Celebrations as we gather. Impact is interactive and participatory. It is for everyone and especially welcomes those who live in urban areas and outer estates. There will be lots of interviews and stories about some of the great things God is doing in our communities.

Awaken

The Awaken venue is a vibrant hub of Celebrations and activities, in the heart of the Fun Zone. Hosting Chapel as well as Awaken gatherings which will be extended times of prayer and worship, this venue will start early and finish late with Late Night Live.

Luminosity (11–18-year-olds)

Luminosity ‘26 is going to be incredible! We are thrilled once again to have provision on site for both younger and older youth. While our main celebrations will still be altogether, there’ll be a fresh jam-packed lineup for everybody to engage with across the Luminosity Village.

Exhibition Huts

Hut Information

This year our Exhibition Huts can be supplied as open fronted or countertop (hatch style). We will set up your Exhibition Hut in the style requested on your booking form. If you are unsure what you ordered, please contact partnerships@new-wine.org before the event.

Exhibition Hut sizing:

Decorating your Exhibition Hut

All Exhibition Huts come with a 16amp power socket (do consider bringing an extension cable if you think you may need it) and a light. There will be festoon lighting strung on the outside of the huts.

We ask you not to drill into or alter the hut’s structure.

All signage must be applied with double sided Velcro/tape or staples. All of which must be removed prior to you leaving the site.

Shelving must be freestanding and lighter items can be hooked over the doors. We suggest plastic or metal grid mesh to hang items from or fishing wire. Nothing can be attached to the roof.

All table and chair hire must be completed through our booking system before the event, and we will invoice you separately for payment.

You are welcome to utilize the space in front of your own Exhibition Hut up to 1.5m in front. Please avoid encroaching on your neighbour’s space.

Securing Your Hut

If you have an Exhibition Hut, New Wine will provide a padlock and key to secure your hut when not exhibiting. You can keep your key for the duration of the event. Control will keep a duplicate key, should you lose your key, or we need access to your hut in the unlikely event of a health or safety issue. Please leave your padlock in your hut together with the key for New Wine staff to collect at the end of the Festival.

Location of Exhibition Huts in the Fun Zone:

Layout and numbering are subject to change.

We will contact you in a separate mailing to confirm your Exhibition Hut number before the event. Our Team will be on site to help you locate your Hut when you arrive.

Tables and Chairs

If you have preordered Tables and Chairs they will be delivered to you Exhibition Hut in time for set-up on the 27th of July.

Please note, we are unable to provide Tables and Chairs on site if you have not preordered them.

Sustainability

Please help us to reduce the environmental impact of this event. See the ‘Sustainability’ posters around site for guidance. As well as reducing waste and recycling, here are some other recommendations:

  • Replace plastic bags with paper or tote bags
  • Pencils instead of pens
  • Can any giveaways be replaced with plastic-free alternatives?

Terms, Safety & Safeguarding

Terms and Conditions

All Exhibitors must comply with New Wine Terms and Conditions and follow instructions and guidance from the New Wine Partnerships Team. We ask that your interactions with delegates be gracious and respectful, reflecting the love of Christ.

We remind you of the following:

  • Exhibitors must stay within their allocated space. Leafleting and postering outside of your stand area is strictly prohibited.
  • We cannot accommodate requests for tables and chairs made on the day of the event.
  • The exhibitor is responsible for arranging food for their team.
  • Exhibitors are not permitted to use the New Wine Festival App for marketing purposes.
  • All Exhibitors are solely responsible for purchasing any relevant licenses for music or copyrighted materials played or used as part of their exhibit.
  • All storage space, stand furnishings and exhibits must be confined to the space booked. All electrical equipment must be PAT tested if over 12 months old.
  • New Wine cannot accommodate premature delivery of exhibition items (unless specially agreed with New Wine) and no items should be left behind for collection once you have left the event. New Wine will not be responsible for anything left behind.
  • No photography or filming of delegates is allowed without prior permission from New Wine and without gaining permission from delegates. If the delegates are under 18 the parental guardian must be asked for permission. If you haven’t already done so, please submit the details of a contact in your team for our Media team to liaise with to ensure safeguarding of delegates is upheld and so we can collaborate on social media.

Important Information

New Wine operates a zero-tolerance policy towards abusive behavior. Any physical or verbal abuse of any delegate, volunteer, contractor or member of staff will not be tolerated. New Wine reserves the right to remove anyone from venues, teams or the event should it be deemed appropriate to do so. If a member of your team witnesses any physical or verbal abuse towards others or themselves please report it to the nearest team member, steward or member of New Wine Staff.

Your Exhibition areas must be staffed during the agreed opening hours of your venue or zone.

When your Exhibition venue or zone is closed, your exhibition space must be left in a safe and secure state. New Wine cannot accept any liability for any damage to your property, so please remove and lock away your valuables.

Emergencies

In an emergency, call 02045 832 929 – the New Wine Emergency Number, which is printed on your wristband. Do not call 999.

Our Control Team operate the running and safety of the site 24/7, and act as our onsite emergency call receivers. The team can get help to you much quicker than a normal 999 call could.

For non-emergencies where Control must be contacted, please use the Non-emergency line: 02045 832 915.

Safeguarding

New Wine is committed to safeguarding as an integral part of our ministry and mission, and we set high standards to keep everyone safe. Safeguarding Officers are present throughout the duration of the event.

Please report any and all safeguarding concerns you have. This includes anything you see, hear, are told or become aware of that causes you to feel concerned about the safety or wellbeing of a person.

Please report this in one of the following ways:

  1. Scan the Referral QR code available on posters around the site
  2. Visit https://www.new-wine.org/reporting
  3. Call our Safeguarding team on 0204 583 2915

The Safeguarding team will respond to all referrals appropriately and make sure people are safe and their needs are met at the New Wine event, and link with other agencies to support when the event is over. The Safeguarding Team onsite are recruited from a wide range of professional backgrounds, and all have undergone our safer recruitment process. Anyone serving in Children’s or Luminosity venues has demonstrated relevant experience in working with children or young people, and all have current DBS clearance and satisfactory references.  All volunteers and leaders receive safeguarding training prior to their arrival onsite, regardless of any training they may have undertaken elsewhere. 

What other ways do we prioritise safeguarding onsite?

  • Anyone serving in venues with children or vulnerable adults has demonstrated relevant experience in these contexts and has current DBS clearance and satisfactory references.
  • All volunteers and leaders receive safeguarding training prior to their arrival onsite, regardless of any training they may have undertaken elsewhere.
  • Where we are aware that a person may pose a risk to others, we will assess this risk and will refuse admission if it is considered too great. Some individuals already have safeguarding arrangements or agreements in place with their churches – if you have a safeguarding agreement or management plan in place with your local church, this must be disclosed to us before you book. You can do this by emailing safeguarding@new-wine.org or calling 07956 965991.

Our team take all referrals seriously, and we encourage the reporting of concerns of any level. By working together, we can ensure that the festival remains a safe environment for all.
